Terms and Conditions of Accommodation

Article 1: Scope of Application

  1. Contracts for accommodation and related agreements between this accommodation facility (hereinafter referred to as “the Hotel”) and the guest shall be governed by the provisions of this agreement. Matters not stipulated herein shall be governed by laws and regulations or generally established practices.
  2. If the Hotel agrees to a special contract within the scope of laws and customary practices, that special contract shall take precedence over this agreement.

Article 2: Application for Accommodation Contract

  1. A person applying for an accommodation contract shall provide the Hotel with the following information:
    1. Name of the guest(s)
    2. Date(s) of stay and estimated time of arrival
    3. Accommodation charges (in principle, based on the basic charges in Schedule 1)
    4. Age category of accompanying persons (adult, child, infant)
    5. Other matters deemed necessary by the Hotel

Article 3: Registration at Check-in

  1. On the day of use, the guest shall register the following information through the Hotel’s check-in system:
    1. Name, address, age, contact number, and gender of the guest
    2. For foreign nationals without a residence in Japan: nationality and passport number (a copy of the passport will be taken)
    3. Other necessary matters as deemed by the Hotel
  2. If the guest intends to pay the charges mentioned in Article 12 by means other than currency, such as traveler’s checks, coupons, or credit cards, they shall present these at the time of registration.
  3. Guests who are minors are not permitted to stay without parental consent.

Article 4: Conclusion of Accommodation Contract

  1. The accommodation contract is deemed concluded when the Hotel accepts the application referred to in Article 2. However, this does not apply if the Hotel proves that it did not accept the application.
  2. Upon conclusion of the accommodation contract, the guest may be requested to pay a reservation deposit up to the equivalent of the basic charge for three days, by the date specified by the Hotel.
  3. The reservation deposit shall first be applied to the final accommodation charges, and if cancellation or damages occur, it shall be applied in the order of cancellation fees and then damages. Any remaining balance shall be refunded upon payment of the charges under Article 12.
  4. If the deposit is not paid by the designated date, the accommodation contract becomes invalid. However, this applies only if the Hotel has clearly informed the guest in advance of the payment deadline.

Article 5: Special Provisions Not Requiring Deposit

  1. Notwithstanding Paragraph 2 of the preceding Article, the Hotel may accept a special agreement not requiring a reservation deposit after the contract is concluded.

Article 6: Refusal to Conclude an Accommodation Contract

  1. The Hotel may refuse to enter into an accommodation contract in the following cases:
    1. When the application does not comply with this agreement
    2. When the facility is fully booked
    3. When the guest is likely to violate laws, public order, or good morals regarding their stay
    4. When the guest falls under the following categories:
      • Organized crime groups, members, quasi-members, or related persons as defined by the Act on Prevention of Unjust Acts by Organized Crime Group Members
      • Organizations controlled by organized crime groups
      • Corporations with officers who are members of such groups
    5. When the guest causes significant disturbance to other guests
    6. When the guest is clearly infected with a contagious disease
    7. When the guest makes violent demands or unreasonable requests beyond a rational scope
    8. When repeated unreasonable requests include aggressive or abusive behavior that burdens staff excessively
    9. When the Hotel cannot provide accommodation due to natural disasters or other unavoidable circumstances
    10. When the guest falls under applicable prohibitions defined by Gunma Prefecture regulations

Article 7: Guest’s Right to Cancel the Contract

  1. The guest may cancel the accommodation contract by notifying the Hotel.
  2. If the guest cancels all or part of the accommodation contract due to reasons attributable to them (except when the Hotel has specified a deposit payment deadline under Article 4, Paragraph 2, and the guest cancels before making the payment), a cancellation fee shall be charged as specified in Schedule 2.
  3. If the guest does not arrive by 12:00 p.m. on the scheduled day of stay without prior notice, the Hotel may treat the reservation as canceled by the guest, and cancellation charges as per Schedule 2 will apply.

Article 8: Hotel’s Right to Cancel the Contract

  1. The Hotel may cancel the accommodation contract in the following cases:
    1. When the guest is likely to act, or has acted, in violation of laws, public order, or good morals
    2. When the guest falls under any of the following:
      1. Organized crime groups, members, quasi-members, or affiliated individuals
      2. Organizations controlled by such groups
      3. Corporations with officers belonging to such groups
    3. When the guest significantly disturbs other guests
    4. When the guest is clearly infected with a contagious disease
    5. When the guest makes violent or unreasonable demands beyond a rational scope
    6. When the guest repeatedly makes unreasonable demands with aggressive or abusive behavior, placing undue burden on staff
    7. When the Hotel cannot accommodate the guest due to force majeure such as natural disasters
    8. When the guest falls under restrictions set by Gunma Prefecture regulations
    9. When the guest smokes in bed, tampers with fire prevention equipment, or otherwise violates fire safety rules
    10. When the guest brings in any of the following prohibited items:
      1. Firearms without permits
      2. Bladed weapons without permits
      3. Items with strong odors
      4. Excessive or bulky items
      5. Flammable or explosive substances (e.g., fireworks, incense, gasoline)
      6. Animals or insects (excluding guide dogs; please consult us in advance)
    11. When the guest removes or relocates Hotel property without permission
    12. When the guest attempts to alter or modify Hotel facilities
    13. When the guest violates any prohibitions listed in the Hotel’s terms of use
  2. If the Hotel cancels the contract based on the above, no charges shall be applied for services not yet rendered. However, cancellation fees as outlined in Schedule 2 may still apply.

Article 9: Room Usage Hours

  1. Guests may use their rooms from 3:00 p.m. to 10:00 a.m. the following day.
  2. For consecutive stays, rooms may be used throughout the day, except on the check-in and check-out days.
    1. Outside these hours, the Hotel may allow extended use with additional charges as follows:
    2. Up to 1 hour: 30% of the accommodation charge
  3. Over 1 hour: Full one-night charge
    If a guest remains in lounge or other non-room facilities for a prolonged time after check-out, the Hotel may charge an additional fee equivalent to an extra night.

Article 10: Compliance with Rules

  1. Guests shall comply with the rules of use posted inside the Hotel. These include posted regulations and those communicated by the Hotel through designated methods.

Article 11: Business Hours

  1. The Hotel’s check-in hours are stated on each booking website.
  2. In principle, the Hotel is open year-round. Any closure or changes will be announced on the booking websites.
  3. Emergency contact information is posted at the check-in counter.

Article 12: Payment of Charges

  1. The breakdown of accommodation charges is as listed in Schedule 1.
  2. Charges must be paid in Japanese yen or by an accepted method such as coupons, credit cards, or electronic money at the time of booking.
  3. Even if the guest voluntarily does not stay after the room becomes available, the full accommodation charge shall still apply.

Article 13: Hotel’s Responsibility

  1. If the Hotel causes damage to the guest due to the non-fulfillment or improper fulfillment of the accommodation contract or related agreements, the Hotel shall compensate for the damage, unless it is not attributable to the Hotel.

Article 14: Handling of Personal Information

  1. The Hotel shall handle personal information obtained in the course of fulfilling accommodation contracts in accordance with its Privacy Policy.

Article 15: Inability to Provide Contracted Room

  1. If the Hotel is unable to provide the contracted room, it will, with the consent of the guest, make arrangements for alternative accommodations with conditions as close as possible to the original contract.
  2. If alternative arrangements cannot be made, the Hotel shall compensate the guest with an amount equivalent to the cancellation fee specified in Schedule 2. This compensation shall be considered as covering any damages. However, if the inability is not attributable to the Hotel, compensation shall not be paid.

Article 16: Custody of Deposited Items

  1. The Hotel does not accept custody of guests’ cash, valuables, or personal belongings.

Article 17: Handling of Forgotten Items

  1. If luggage or belongings are left behind after check-out and the owner is identifiable, the Hotel will attempt to contact them and follow their instructions.
  2. If the owner cannot be identified or does not provide instructions, the items will be handled as follows:
    1. Valuables (cash over 100,000 yen or items defined by law): submitted to the nearest police station within 7 days including the date found
    2. Other items: handled in accordance with applicable laws and regulations。

Article 18: Guest’s Belongings and Valuables

  1. Guests are responsible for managing their valuables. Use of in-room safes is available. However, the Hotel shall not be liable for any loss or damage to valuables, regardless of safe use, unless due to Hotel’s willful misconduct or gross negligence.
  2. Guests are also responsible for all personal items brought to the Hotel, including food (even perishable items), clothing, and amenities.

Article 19: Responsibility for Parking

  1. The Hotel only provides a parking space and does not assume responsibility for vehicle management. However, the Hotel will compensate for damages caused by its intentional or negligent acts during parking management.

Article 20: Guest’s Responsibility

  1. If the guest causes damage to the Hotel due to intent or negligence, the guest shall compensate the Hotel for the damages.

Article 21: Use of Internet Services

  1. Guests using the Hotel’s Wi-Fi or other communication services do so at their own responsibility.
  2. If a guest engages in actions deemed inappropriate by the Hotel that may cause damage to the Hotel or a third party, the Hotel may suspend internet access and claim compensation for any damages caused.

Article 22: Housekeeping Policy

  1. If a guest stays in the same room for consecutive nights, the Hotel does not provide daily cleaning. For stays of 6 nights or more, cleaning will be provided on a guest-specified day starting from the 7th night.
  2. However, cleaning will be limited to once every 7 days. If a different arrangement is specified at the time of booking, that arrangement will apply.
  3. If the guest does not specify a cleaning day, the Hotel will conduct minimum necessary cleaning based on health regulations and Gunma Prefecture ordinances.
  4. During periods when cleaning is waived, towel/linen replacement and amenity restocking will not be provided. Guests may not refuse this minimum cleaning deemed necessary by the Hotel.

Article 23: Miscellaneous

  1. If any trouble, accident, or dispute arises between guests that is not caused by the Hotel, the parties involved shall resolve it themselves.
  2. The Hotel reserves the right to revise this agreement when deemed necessary for its operations. In such cases, appropriate and timely notification will be made considering the impact on services.
  3. This agreement shall be governed by Japanese law. Any disputes arising shall be subject to the exclusive jurisdiction of the Tokyo District Court as the court of first instance.
  4. In the case of discrepancies between the Japanese version and any foreign language versions of this agreement, the Japanese version shall take precedence.

Notes:

  • If the booking website specifies a cancellation policy, that policy will take precedence.
  • Percentages represent the cancellation charge as a percentage of the basic accommodation fee.
  • If the number of nights is reduced, one night’s charge (the first night) will be collected as a cancellation fee, regardless of the number of nights shortened.

Terms of Use

To ensure a safe and comfortable stay for all guests and to maintain the public nature of our facility, the following rules apply in conjunction with our accommodation agreement. Failure to comply may result in cancellation of the accommodation contract under Article 6 of the agreement.

  1. Valuables and Deposits
    • Guests are responsible for managing their own valuables.
  2. Use of Guest Rooms
    1. Exceeding the reserved number of guests without notification is prohibited.
    2. If such unauthorized use is discovered, an additional charge of ¥10,000 (plus tax) will be applied.
    3. Unaccompanied minors are not permitted to stay without parental consent.
    4. Use of personal heating appliances, cooking devices, candles, and any non-hotel-provided electrical items (such as personal irons) is not permitted.
    5. Smoking, including electronic cigarettes, is strictly prohibited in all areas of the hotel and premises.
    6. The use of hair dye or bleach in showers or sinks is strictly prohibited.
      Affixing photos or posters to windows or otherwise altering the building’s exterior is prohibited.
    7. Use of the facility for purposes other than accommodation is strictly prohibited.
    8. Guests are not permitted to meet visitors in their rooms.
  3. Prohibited Items and Behavior
    • Please refrain from bringing the following items or engaging in the following behavior within the Hotel:
    • Prohibited Items:
      • Animals, birds, etc. (excluding guide dogs)
      • Narcotics or illegal drugs
      • Explosives, flammable materials, toxic substances
      • Unauthorized firearms or blades
      • Excessively large or heavy items
      • Items with strong odors
      • Garbage or items that may compromise room hygiene
      • Unauthorized electrical appliances or cooking devices for in-hotel use
      • Any other items prohibited by the Hotel
    • Prohibited Behavior:
      • Loud noises, strong odors, or other disturbances to other guests
      • Acts contrary to public order or morality
      • Distribution of leaflets, advertisements, etc., to other guests
      • Unauthorized relocation, alteration, or removal of hotel equipment or
      • furnishings
      • Leaving personal items in public areas
      • Entering restricted or staff-only areas
      • Conducting business or profit-seeking activities
      • Any other act deemed a risk to safety or hygiene by the Hotel
